A request does not authorize disclosure

The policy covers requests from police, courts, regulators, tax authorities and other public bodies, including requests concerning WhatsApp data. Special Guest does not voluntarily disclose personal data merely because a request is received. Receiving a request does not give anyone direct access to customer accounts or records.

Review before any disclosure

Before any disclosure, an authorized company representative must verify the requester through an independent official channel and review the legal basis, jurisdiction, required formal documents and precise scope. Where validity or obligations are unclear, qualified legal advice is required. A foreign request is not treated as automatically binding.

Clarify, narrow or challenge

Invalid, unclear or excessive requests must be clarified, narrowed, challenged or rejected where legally permitted. The representative must document the reasoning, applicable deadlines and any legal escalation before deciding whether disclosure is required.

Only the minimum required information

If disclosure is legally required, only the specific data needed to meet that requirement may be approved. Unrelated records must be excluded. The proposed package must be checked against that scope and sent securely to a verified recipient. This policy does not create automated disclosure or unrestricted database access.

Notification and business coordination

Affected businesses or users must be notified before disclosure where legally permissible and appropriate. Any prohibition or justified delay must be documented and reassessed. Where Special Guest acts on a business’s behalf, the representative must coordinate with that business and relevant service providers as legally permitted.

Urgency and preservation

Urgent requests must be prioritized without bypassing identity checks, legality review or recorded authorization. Any obligation to preserve information must be assessed separately, with a defined scope and review date. Preserving information does not itself authorize its disclosure.

Accountability and limited retention

Requests, review decisions, reasons, authorized actors and responses must be documented in restricted records. Those records must be reviewed for continued necessity and kept only for a documented period, taking applicable obligations and holds into account. Private case files and disclosed datasets must not be published or placed in general application logs.
